Waltham Public Schools – Fine & Performing Arts

Position Overview

The Rock Band Director/Coordinator provides year-round planning, coordination, instructional leadership, and production management for the Waltham Public Schools Rock Band Camp. Founded in 2004 with one six-student band, the program has grown to three ensembles serving approximately 50 or more students annually. The eight-month program culminates in a public concert each August at Waltham High School.

The Director/Coordinator works closely with students, families, instructional staff, middle school music teachers, the Summer School Director, Human Resources, vendors, technicians, and community partners to ensure a successful, financially sustainable, and well-organized program.

Major Responsibilities

Program Recruitment and Enrollment

• Recruit returning and new students beginning in January.

• Coordinate auditions and communicate with middle school music staff regarding prospective students.

• Maintain student rosters and organize students into three balanced ensembles based on instrumentation, skill level, and musical needs.

• Communicate regularly with families regarding auditions, registration, tuition, payment deadlines, camp dates, scholarships, and concert information.

• Continue recruitment as needed to maintain appropriate enrollment and program revenue.

Staffing and Personnel Coordination

• Confirm instructional staffing, including approximately four full-time and one part-time camp staff members.

• Communicate staff dates, hours, responsibilities, and hourly rates.

• Identify staffing vacancies and assist with recruitment and interviews as needed.

• Coordinate hiring information with Human Resources, including CORI, fingerprinting, payroll, and required employee documentation.

• Submit and monitor weekly staff payroll information during camp.

Budget and Financial Management

• Develop revenue projections based on student tuition and anticipated staffing expenses.

• Monitor tuition payments and work with the Summer School Director to ensure payments are recorded.

• Review projected revenue against salaries, vendor costs, concert expenses, and other program needs.

• Coordinate scholarship eligibility with the Summer School Director.

• Submit vendor invoices and assist with reconciliation of program and concert funds.

Curriculum and Musical Planning

• Collaborate with co-directors to select appropriate repertoire for each ensemble.

• Seek student input regarding repertoire, instrumentation, keys, and performance opportunities.

• Coordinate with arrangers regarding instrumentation, student ranges, and musical needs.

• Develop the complete concert curriculum and performance sequence.

• Assign students to songs, instruments, and individual parts in collaboration with instructional staff.

Fundraising

• Plan and coordinate the annual spring fundraiser to support concert and equipment expenses.

• Responsibilities may include:

• Preparing trivia and presentation materials.

• Soliciting food and raffle donations.

• Coordinating publicity and ticketing.

• Securing sound equipment and event space.

• Gathering supplies.

• Organizing donated raffle items.

• Collecting receipts and coordinating deposits with the Summer School Director.

• Soliciting support from local businesses and community partners.

Summer Camp Operations

• Coordinate student medical forms and required documentation.

• Maintain daily student attendance.

• Coordinate instrument distribution, equipment movement, and classroom/stage setup.

• Ensure appropriate media-release information is confirmed.

• Coordinate with parent volunteers, photographers, and other program supporters.

• Maintain ongoing communication with families and students throughout the camp.

Concert and Production Management

• Coordinate all aspects of the culminating August concert.

• Hire and communicate with sound and lighting technicians.

• Coordinate production meetings and event logistics.

• Oversee:

• Sound and lighting.

• Stage setup.

• Projection and slideshow materials.

• Publicity, posters, and tickets.

• Lobby setup.

• Parent volunteers.

• Ticket sales.

• Photography.

• Equipment setup and breakdown.

• Work with the Summer School Director following the concert to reconcile and deposit ticket-sale revenue.

• Ensure all equipment is returned to the appropriate classrooms and schools following the event.

Annual Planning Cycle

The Rock Band Director/Coordinator position requires active program coordination from January through August, with responsibilities increasing significantly during the spring planning period and the July–August camp and concert season.

• Experience directing or teaching contemporary/rock ensembles.

• Strong knowledge of instrumental music, ensemble balance, repertoire selection, and student-centered music instruction.
